Welcome to Car Show Pilot. These Terms of Service ("Terms") govern your use of our car show management platform and community service ("Service"). Car Show Pilot is a product of Event Pilot LLC, an Arizona limited liability company ("Event Pilot LLC", "us", "we", or "our"). By accessing or using our Service, you agree to be bound by these Terms.
2. Description of Service
Car Show Pilot is a platform that allows users to:
- Discover and browse car shows and automotive events
- Create and manage automotive events and organizations
- Register for and attend car shows
- Showcase vehicles in digital garages
- Connect with other automotive enthusiasts
- Share photos and information about vehicles and events
3. User Accounts
3.1 Account Creation
To use certain features of our Service, you must create an account. You agree to:
- Provide accurate, current, and complete information
- Maintain the security of your account credentials
- Update your information to keep it accurate
- Be responsible for all activities under your account
- Notify us immediately of any unauthorized access
3.2 Account Eligibility
You must be at least 13 years old to create an account. Users under 18 should have parental consent.
4. User Conduct
4.1 Acceptable Use
You agree to use our Service in a manner that:

When creating events, you agree to:

- Honor registrations and commitments made through our platform
- Comply with all applicable laws and venue requirements
- Handle participant data responsibly
6.2 Event Registration
When registering for events:
- Registration confirmations are subject to event organizer approval
- Payment processing is handled by secure third-party providers
- Cancellation and refund policies are set by individual event organizers
- You are responsible for understanding event terms and requirements
6.3 Event Messaging and Email Usage
Important for Event Organizers: When using Car Show Pilot's messaging tools to communicate with event participants, you agree to the following restrictions:
Acceptable Email Use:
- Sending event updates and announcements to registered participants
- Communicating event information, schedules, and logistics
- Providing important notifications related to the specific event
- Responding to participant inquiries about the event
Prohibited Email Activities:
- Building or maintaining marketing lists unrelated to the specific event
- Subscribing ticket holders to external email services or mailing lists
- Using the email system for direct marketing of products, services, or events not related to the registered event
- Sending excessive or abusive emails to participants
- Sharing participant email addresses with third parties
- Using participant contact information for any purpose other than event-related communication
Enforcement: Event Pilot LLC reserves the right to immediately revoke access to our email and messaging system for any organization that we determine is using the email capability in a way that violates these terms, is sending excessive or abusive emails to ticket holders, or is using the email system in ways that violate these Terms of Service. Repeated or severe violations may result in suspension or termination of your organization's account.
7. Privacy and Data Protection
7.1 Privacy Settings
You can control the visibility of your information through privacy settings. Options include:
- Making your profile public or private
- Controlling who can see your contact information
- Managing photo sharing preferences
- Setting organization membership visibility
7.2 Organization Privacy
Private events are only visible to approved organization members. Public events are visible to all users but may require registration.
8. Payments and Fees
8.1 Ticket Purchases and Refund Policy
Important for Ticket Purchasers: When purchasing tickets through Car Show Pilot, you acknowledge and agree that:
- Tickets are sold and managed by the organization hosting the event, not by Car Show Pilot
- Car Show Pilot acts solely as a payment processing platform and marketplace
- The host organization is responsible for their own refund policy and event management
- Refunds, when available, are limited to the ticket purchase price less platform fees and payment processing fees
- You must contact the event host directly for refund requests or event-related inquiries
- Car Show Pilot cannot guarantee refunds and is not responsible for event cancellations or changes
8.2 Platform and Processing Fees
Car Show Pilot charges the following fees on ticket sales:
- Platform Fee: A percentage-based fee charged to support platform operations
- Payment Processing Fee: A fee charged by our payment processor (Stripe) for transaction handling
- These fees are non-refundable and are deducted from any ticket refunds issued by event hosts
- Fee amounts are disclosed during the ticket purchase process
8.3 Payment Processing
We use Stripe as our third-party payment processor to handle transactions. We do not store your payment information on our servers. All payment data is handled according to PCI DSS standards.
8.4 Organization Event Hosting Terms
Important for Organizations Hosting Events: By creating and hosting events through Car Show Pilot, you acknowledge and agree to the following terms:
🛡️ Platform Liability Limitation
System Failure Protection: In the event of a Car Show Pilot system failure, interruption, or platform unavailability that impacts your hosted event:
- Car Show Pilot's maximum liability is limited to the total platform fees collected for that specific event
- Car Show Pilot is not liable for any consequential damages, lost revenue, or business interruption
- Organizations must have contingency plans for event management independent of our platform
- We recommend maintaining backup registration systems for mission-critical events
💳 Payment Processing with Stripe Connect
Payment Processor and Service Agreement: Event payments are processed as follows:
- Stripe is used as the payment processor for all event ticket sales on Car Show Pilot
- Organizations hosting events must create a Stripe Connect account to manage ticket sales and receive payouts
- By creating a Stripe Connect account through Car Show Pilot, you agree to be bound by Stripe's Services Agreement
- You can review Stripe's Services Agreement at: https://stripe.com/legal/ssa
- Your use of Stripe's services is subject to Stripe's terms, policies, and procedures
- Car Show Pilot is not responsible for Stripe's services or any issues arising from your use of Stripe
💰 Refund Responsibility
Organization Refund Obligations: As an event host, you agree that:
- You are solely responsible for managing all ticket refunds, whether individual requests or event cancellations
- You must establish and clearly communicate your refund policy to ticket purchasers
- Refunds are limited to the ticket purchase amount less platform fees and payment processing fees
- Car Show Pilot is not responsible for issuing refunds on your behalf
- You must handle all customer service inquiries related to refunds and event changes
- Refund policies must comply with applicable consumer protection laws
🎰 Raffle and Games of Chance Restrictions
Important Restriction: Raffles and games of chance are considered a form of gambling and are heavily regulated by individual states. As such, selling tickets to raffles or games of chance is prohibited on carshowpilot.com.
Compliance with Payment Processor Restrictions: This restriction is also required to comply with Stripe's "Restricted Businesses" policy, which you can review at: https://stripe.com/legal/restricted-businesses
Exception Process for Authorized Raffles:
If your organization wishes to host raffle tickets for items such as a charity car build or similar fundraising purposes, you may contact us at admin@carshowpilot.com to have the ticket sales considered on a case-by-case basis.
Requirements for Raffle Authorization:
- Your organization must receive prior written authorization from Stripe regarding raffle ticket sales through your linked Stripe Connect account
- You must present proof from your state government that you have legal permission to host a raffle for fundraising purposes
- All required documentation must be submitted to Car Show Pilot for review
- There is no guarantee of approval for hosting raffle tickets through carshowpilot.com, even with proper authorization
Enforcement and Consequences: Violation of this raffle restriction can result in serious consequences:
- Stripe may restrict or suspend your payment account, which will prevent all ticket sales on carshowpilot.com until the restriction is lifted
- Car Show Pilot may immediately restrict or suspend your organization's account if found to be in violation of this policy
- When a payment account becomes restricted, ticket sales for all your events will cease to function
- You may be held liable for any damages or losses resulting from policy violations
🏦 Payout Terms via Stripe Connect
Payment Processing and Payouts: Event revenue is processed and distributed as follows:
- All payments are processed through Stripe Connect, a third-party payment processor
- Default Payout Schedule: Payouts are processed automatically every 2 business days
- Processing Time: Funds typically arrive within 2 business days
- Payouts may be subject to Stripe's standard review and verification processes
- Event revenue minus platform fees and processing fees will be transferred to your connected bank account
- You are responsible for all tax obligations related to event revenue
- Stripe Connect account must remain in good standing to receive payouts
- Payout schedules may be modified based on event size, risk assessment, or Stripe requirements
📊 Financial Responsibility
Organizations hosting events through Car Show Pilot agree to:
- Maintain accurate financial records for all ticket sales and refunds
- Comply with all applicable tax laws and reporting requirements
- Handle chargebacks and payment disputes in accordance with Stripe's policies
- Notify Car Show Pilot immediately of any suspected fraudulent activity
🔒 Customer Data Protection Requirements
Mandatory Data Protection Obligations
Organizations are strictly prohibited from selling, renting, or sharing customer information collected through the Car Show Pilot platform with third parties for marketing or commercial purposes.
As an organization using Car Show Pilot, you contractually agree to the following data protection requirements:
- Prohibited Actions: You MUST NOT sell, rent, trade, or provide customer email addresses, contact information, or personal data to third parties
- No Marketing Lists: You MUST NOT add customer information to marketing lists, share with advertisers, or provide to data brokers
- Limited Use: Customer data may ONLY be used for event management, direct communication about your events, and customer service
- No Third-Party Sharing: Customer information MUST NOT be shared with sponsors, vendors, or other third parties except as necessary for event operations (e.g., security, parking management)
- Operational Necessity Only: Any sharing of customer data must be strictly necessary for event operations and limited to the minimum information required
Permitted Uses of Customer Data:
- Direct communication about the specific event they registered for
- Event logistics and updates (parking, schedule changes, safety information)
- Customer service and support inquiries
- Compliance with legal obligations (tax reporting, legal disputes)
Enforcement and Consequences:
- Violation of these data protection requirements constitutes a material breach of these Terms
- Car Show Pilot reserves the right to immediately suspend or terminate your organization's account
- You may be held financially liable for damages resulting from misuse of customer data
- We may report violations to relevant regulatory authorities
By hosting events on Car Show Pilot, you acknowledge that you are acting as a data controller for customer information collected through your events and agree to comply with all applicable privacy laws including GDPR, CCPA, and other regional data protection regulations.
8.5 Organization Deletion and Payment Responsibilities
Important Notice for Organization Administrators: When you delete an organization from Car Show Pilot, the following payment-related consequences occur:
- Your Stripe Connect account will be permanently disconnected from the platform
- Any pending payouts will no longer be processed through Car Show Pilot
- You become solely responsible for resolving any outstanding financial obligations
- We cannot guarantee receipt of funds for completed transactions if the organization is deleted before payouts are complete
Financial Responsibility: By creating and managing an organization on our platform, you acknowledge and agree that:
- You are responsible for ensuring all pending financial transactions are settled before deleting your organization
- Car Show Pilot cannot and will not be held responsible for any loss of funds resulting from organization deletion
- You should wait until all event-related payments and payouts are complete before proceeding with organization deletion
- Any disputes regarding payments after organization deletion must be resolved directly with Stripe or your financial institution
Stripe Account Access: If you want to retain access to your Stripe Connect account for future use outside of Car Show Pilot, you must claim it before deleting your organization. Visit the Stripe Support documentation to learn how to claim your account. You can also access claiming instructions from your organization's Payment Settings section.
Recommendation: Before deleting an organization, we strongly recommend reviewing your Stripe Connect dashboard to ensure all payouts are complete and no funds are pending.
9. Disclaimers and Limitations
9.1 Service Availability
We strive to maintain high service availability but cannot guarantee uninterrupted access. The Service is provided "as is" and "as available."
9.2 Event Liability
Event Pilot LLC and Car Show Pilot are not responsible for the actual conduct of events, the actions of event organizers, or issues that arise at physical events. Users participate in events at their own risk.
9.3 User Interactions
We are not responsible for interactions between users, whether online or offline. Use caution when meeting people in person and follow safety best practices.
10. Limitation of Liability
To the maximum extent permitted by law, Event Pilot LLC and Car Show Pilot shall not be liable for any indirect, incidental, special, consequential, or punitive damages, including but not limited to loss of profits, data, or use, arising from your use of the Service.
11. Indemnification
You agree to indemnify and hold Event Pilot LLC and Car Show Pilot harmless from any claims, damages, losses, or expenses arising from your use of the Service, violation of these Terms, or infringement of any rights of another.
12. Termination
12.1 By You
You may terminate your account at any time by contacting us or using account deletion features.
12.2 By Us
We may terminate or suspend your account if you:
- Violate these Terms
- Engage in harmful or disruptive behavior
- Fail to pay required fees
- Remain inactive for an extended period
13. Changes to Terms
We may modify these Terms at any time. We will notify users of significant changes via email or through the Service. Continued use after changes constitutes acceptance of the new Terms.
14. Governing Law
These Terms are governed by the laws of The State of Arizona, without regard to conflict of law principles. Any disputes will be resolved in the courts of The State of Arizona.
15. Severability
If any provision of these Terms is found to be unenforceable, the remaining provisions will continue in full force and effect.
